Billing Coordinator

Brinks Gilson & Lione is seeking a Billing Coordinator for the Chicago office with a minimum of five years of prior legal billing experience. This individual must be able to communicate effectively with co-workers, attorneys, and secretaries, and manage complex client billing to ensure invoices are prepared accurately and timely. Experience with full cycle billing including,  generating month end proformas, processing various types of edits, processing final invoices, posting, sending via email, e-bill or hard copy to clients according to Billing Guidelines is needed.   Experience with Elite 3E, Elite Enterprise or another legal industry accounting system is preferred.

This individual must possess the following:

  • Have a professional demeanor with excellent verbal and written communication skills
  • Have excellent organizational skills, attention to detail, and maintain accuracy with their workload
  • Must be client service driven with a positive attitude
  • Must be able to multi-task and set daily priorities
  • Ability to handle a high volume of billing every month
  • Review and verify accuracy of billing and supporting documentation
  • Research and respond to inquiries regarding billing issues  
  • Work in a team environment within their department to achieve billing goals
  • Must be able to work in a time-sensitive environment
  • Proficient in Microsoft Excel and Word
  • Mathematical aptitude to operate in an accounting/billing system
  • Ability to work with minimal supervision
  • A college degree is preferred, but not required
  • Experience with e-billing and various vendors

Legal Secretary (Salt Lake City)

We are searching for an Intellectual Property Legal Secretary in our Salt Lake City, UT office. Responsibilities include preparing documents related to domestic and foreign patent application filings including filings with the United States Patent and Trademark Office, electronically manage and maintenance e-mails and documents, review daily docket and deadlines, prepare litigation-related documents, schedule and calendar appointments; organize business itineraries, travel arrangements, conferences and meetings. A minimum of two years of intellectual property legal secretarial experience is strongly preferred and a bachelor or associate’s degree is preferable. The ideal candidate must possess excellent written and verbal communication skills with the ability to communicate with the firm's clients, the ability to work in a small team environment, excellent customer service skills and ability to interface with all levels. The candidate also has the ability to multi-task and work in a fast-paced environment with minimal supervision required. Must possess the technical skills to work with Microsoft Office. This is a full-time position and office hours of work are Monday through Friday. Administrative Assistant (RTP)

We are searching for an administrative assistant to take responsibility for general administration in the Research Triangle Park, NC office. You will prepare engagement letters and new client forms for processing, coordinate catering for meetings, maintain and order kitchen and office supplies, and payment requests and invoice processing. You will be required to run conflict checks and maintain a project work docket. We are searching for someone with typing, filing, copying, scanning, and faxing skills who will be responsible for all mail and FedEx shipments and supplies. Associate's or bachelor's degree is preferred, but not required. Minimum of one-year of office experience, preferably in the legal field, is preferred.  Valid driver's license is required. The ideal candidate possess excellent written and verbal communication skills with the ability to communicate with the Firm's clients, the ability to work in a small team environment, excellent customer service skills and ability to interface with all levels.  The candidate also has the ability to multi-task and work in a fast-paced environment with minimal supervision required.  Must possess the technical skills to work with Microsoft Office.  We offer the ability to work in a team environment.  This is a full-time position and office hours of work are Monday through Friday.
