LEGAL SECRETARY POSITION OPEN

(Indianapolis, IN)

Brinks Gilson & Lione has an immediate opening in our Indianapolis Office for an entry-level Legal Secretary who has an interest in the intellectual property field of law.

Specific Duties:

  • Electronically manage and maintain emails, files and documents

  • Filing domestic and foreign patent and trademark applications

  • Electronically prepare for filing applications, responses, etc. with the United States Patent and Trademark Office

  • Review, update and assist in management of daily/weekly/monthly docket and deadlines

  • Schedule and calendar due dates and appointments; organize business itineraries, travel arrangements, conferences and meetings

  • Accurately administer and consistently apply specific client requirements and the ability to complete tasks per clients’ guidelines

  • Work with online data sources and websites, including locating internet references

  • Preparation of Information Disclosure Statements, various templates, reporting letters to clients, and draft communication to foreign associates

    Qualifications:

  • Minimum of 2 year associate degree from accredited institution

  • 1 year of office experience is preferred

  • Knowledge and experience working within server based electronic file management systems

  • Demonstrated core competency skills in MS Word, MS Outlook, MS Excel and Adobe Professional

  • Keyboarding skills – minimum 50 words per minute

CONFLICTS COORDINATOR POSITION OPEN

(Chicago, IL)

There is an immediate opening for a Conflicts Coordinator in our Chicago office that will report to the Director of Records.  The Firm is seeking a candidate with 2+ years of experience in opening client/matters and running conflicts checks.  The Conflicts Coordinator will ensure accurate and timely client and matter openings while protecting the Firm and its clients from adversity and risk.  This position will coordinate conflicts checking, tracking and routing of conflict reports to the Conflicts Committee and New Business Intake Committee.  Candidates must have a thorough working knowledge of conflicts database technology.  This position requires that Firm and Departmental policies and procedures are maintained.  The Conflicts Coordinator will open clients and matters in the Firm’s Elite 3E accounting system as well as the LegalKey conflicts database, along with maintaining files relating to client intake and client engagement letters.  Additional duties will include maintaining copies and preparation of client and matter records for off-site storage.  

JOB REQUIREMENTS:

  • 2+ years of related conflicts experience in a legal environment.
  • Demonstrate an expert level of understanding of the entire conflict checking process.
  • Strong knowledge and proficiency of conflicts searches and procedures and corporate research.
  • Proficiency and usage of Elite 3E and/or LegalKey is desirable.
  • Excellent work ethic, organizational, communication, and analytical skills.
  • Client service driven toward internal and external clients.
  • Proven ability to interact with attorneys, management, and staff.
  • Bachelor’s Degree in Paralegal Studies, Library Science, Business, or related field is preferred.
  • Knowledge of Microsoft programs including Outlook, Word, and Excel.

INTELLECTUAL PROPERTY LEGAL SECRETARY POSITION OPEN

(Washington, DC)

Brinks Gilson & Lione has an immediate opening in our Washington, DC Office for an experienced Intellectual Property Legal Secretary.  This position requires 3+ years of experience working as an IP legal secretary.

Specific Duties:

  • Filing domestic patent applications

  • Drafting client correspondence regarding status of applications

  • Reviewing daily docket and deadlines

  • Preparing filings, briefs, orders, motions, discovery, and pre-trial preparation

  • Preparing and maintaining pleadings, correspondences, deposition transcripts, witness outlines and other litigation-related documentation

  • Schedule and calendar appointments; organize business itineraries, travel arrangements, conferences and meetings

  • Maintaining information relating to specific client requirements and the ability to complete tasks per clients’ guidelines

  • Maintaining attorney chronological files

  • Locating internet references

Qualifications:

  • 3+ years of patent prosecution legal assistant experience

Requirements:

  • Ability to accurately transcribe legal documents, correspondence, and reports from rough draft, dictation, or transcription

  • Ability to effectively communicate, both orally and in writing

  • Ability to interact effectively with all levels of firm personnel

  • Ability to maintain professional demeanor in all situations

  • Requires knowledge of MS Office Suite

  • Excellent organizational skills and ability to multi-task and prioritize workload

  • Converting Japanese documents to English

  • Proofreading documents for accuracy

  • Coordinating billing-related tasks

  • Coordinating meetings, conferences and appointments

Knowledge and Skills:

  • Ability to accurately prepare legal documents, correspondence, and reports

  • Strong knowledge of legal terminology, documents and the legal process

  • Ability to effectively communicate, both orally and written

  • Excellent MS Office skills

Qualifications:
